This notice explains how Wasala Codes collects, uses and protects personal information through this website.

1. Who we are

Wasala Codes provides web-based solutions, database systems, hosting guidance, accessibility-aware design and ongoing maintenance for small businesses.

2. What personal information we collect

We collect only the information needed to respond to enquiries, manage client communication, operate the website and publish approved client reviews.

  • Contact enquiry details: your name, email address, selected service and enquiry message.
  • Client review details: your name, role, organisation, rating, review text and your consent to publish the review.
  • Admin account details: administrator email address, password hash and login session information.
  • Technical information: basic server logs that may include IP address, browser type, date/time of access and requested pages. These are used for security, troubleshooting and hosting operations.

We do not intentionally collect special category data through this website. Please do not include sensitive personal information in enquiry or review forms unless it is necessary.

4. Client reviews

Reviews are not published automatically. They are checked only for suitability before publication, for example to prevent spam, offensive language, abusive content, personal information that should not be public, or content unrelated to Wasala Codes.

The administrator does not rewrite, edit or change the wording of client reviews. A review is either approved as submitted, rejected, or removed on request.

You may withdraw permission for your published review at any time by contacting [email protected].

5. Cookies and analytics

This website does not use advertising cookies, analytics cookies or tracking pixels by default. The admin area uses an essential session cookie to keep administrators logged in securely. See the Cookie Notice for details.

6. Who we share information with

We do not sell personal information. Information may be processed by service providers that help us operate the website and communicate with clients, such as hosting providers, email providers, backup services or technical support providers.

If a project requires third-party tools, hosting, email, payment services, analytics or integrations, the privacy implications will be discussed as part of the project setup.

7. International transfers

Where possible, Wasala Codes aims to use UK or UK/EU-friendly service providers. Some providers may process data outside the UK. Where this applies, appropriate safeguards should be used, such as recognised contractual protections or adequacy arrangements.

8. How long we keep information

  • Enquiries: normally kept for up to 12 months unless they become part of an active project, support request or business record.
  • Client project records: kept for as long as needed to deliver the project, provide support, meet accounting requirements and protect legitimate business interests.
  • Reviews: kept while they remain relevant and consent has not been withdrawn.
  • Server logs: kept for a limited period according to the hosting provider’s security and troubleshooting settings.
  • Admin accounts: kept while the account is needed to manage the website.

9. How we protect information

We use reasonable technical and organisational measures to protect personal information, including secure admin login, password hashing, CSRF protection on forms, input validation, security headers and restricted admin access. Live hosting should also use HTTPS, secure database credentials and regular backups.

10. Your rights

Depending on the circumstances, you may have rights to:

  • ask for a copy of your personal information;
  • ask for inaccurate information to be corrected;
  • ask for information to be deleted;
  • object to or restrict certain processing;
  • withdraw consent where consent is the lawful basis, such as publication of a client review;
  • complain if you are unhappy with how your information is handled.
